Electronic Communications Policy
Many Levity Ventures, LLC (‘Levity,’ ‘we’, ‘us’) clients prefer electronic communication over other forms of communication. Levity provides electronic communication system for clients and providers which include, but are not limited to, client portals, telehealth, text messages and email.
Levity has taken reasonable measure to protect communications on these platforms, especially by collecting and storing information in HIPAA compliant systems. However, we cannot guarantee the security of these communications against unauthorized attempts to access, use or disclose personal information.
Additional risks
Electronic forms of communication present additional risks. These are summarized as follows:
Electronic communications can more easily sent to unintended and/or unknown recipients
Electronic communications can be more easily falsified as it’s difficulty to verify the true identity of the sender
Misplaced devices with notifications can reveal that you are receiving Levity services
Fully ensuring secure information is impossible even in the face of best efforts
Electronic communications increase the risk that unintended third parties may access sensitive information
Electronic communications sent from workplace devices may be accessed by employers
Others with access to your devices may encounter your personal information
Electronic communications may be disclosed to comply with legal proceedings
Email and Messaging, Client Guidelines
Email and text message are not a strictly confidential form of communication and could compromise your privacy. Levity, therefore, does not conduct any counseling services via email. Levity limits these forms of communication to administrative purposes, such as booking appointments or sharing relevant resources.
Should clients consent to electronic communication with Levity, we ask they follow the following guidelines when connecting with us via electronic means:

Do not use electronic communications to discuss counseling support

Do not use Levity electronic communications as an emergency line

Take necessary security measures such as strong passwords in accounts and on devices and do not share passwords

Take privacy precautions when sending emails, such as privacy screens, etc.

Be aware of phishing attempts meant to trick you into sharing personal details

Share emails only to practitioners at their ‘@levity.one’ email address; if you are unsure of the practitioner’s email you can email info@levity.one with the person’s name and ‘confidential’ in the subject line so your message can be forwarded (e.g., ‘ Attn: Practitioner Name, Confidential’)

Confirm emails come from the ‘@levity.one’ domain and that the signature line indicates the correct sender

Identify the purpose of emails in the subject and your full name in the body of the email and use clear language, including all relevant information

If sending a text or instant message, always indicate your name

Note electronic communications may be disclosed to comply with legal action or proceedings

Note that emails may be included in your medical health record, subject to the practices outlined in the Notice of Privacy Practices

Note you may revoke email communication consent at any time or discuss concerns with Levity personnel at any time
Emergencies
If you are experiencing an emergency, please contact emergency mental health assistance by calling 911 or visiting your nearest emergency department.
Information Storage and Policy Updates
Please note Levity is legally required to obtain records each time we meet, speak on the phone or correspond via electronic communication. We treat this information as outlined in our Notice of Privacy Practices.
Levity reserves its right to update this policy, in which case clients will be notified and a copy of the updated electronic communications policy will be provided upon request. The most current version can be found online on our website (www.levity.one).
